write out a meeting plan to ensure that all the preparations for the meeting will be correctly organised.

A management meeting for 12 section managers is due to be held on tuesday, 24 november commencin at 9.30 am and finishing at 4.00pm. The CEO of the company will attend.
The meeting is usually in the boardroom at the company’s offices but this room is unavailable. You will need to make alternative arrangements.

Two of the managers will be coming frjom interstate to attend in person ,while 3 will participate via teleconference. A guest speaker will show a video and talk on tchnological changes for the year 2007. LUnch will be catered for on the premises.
In the afteroon, the participants wil divide into 3 groups to develp ideas and consider their strategic need for the upcoming year.

You need to organise a list of what has to be done, eg arrange another meeting room. make sure that those taking part via teleconference can do so and that hose managers coming for elsewhere have travel arrangements that will have them arrive in time, have flights back or they may need overnight accommodation. Perhaps you need to have a reminder sent to all participants to ensure that they will be attending. You will need to make sure that the video can be shown (equipment). Organise refreshments and lunch,are there any special dietary requirement? Send a sample menu maybe or send an email asking for those with speciall requests to get back to you. For the break up into groups, do they need somewhere else apart from the meeting room to go to? How will the record their ideas? Also think about meetings that you may have attended. You will need to have an agenda, provide copies to the participants, including the teleconference people. Have pen/paper on the tables for the particiapnts. Confirm the guest speaker can attend and check what requirements (equipment etc) may be needed by them.
Just my initial thoughts, but you may need a checklist to ensure all is ready.
